This role is responsible for customer purchase order validation, expediting Sales Quote (SQ) approval, order processing and order acknowledgement, tracking orders on hold, initiating Order Management (OM) related enhancements, prepare order related Honeywell communications to customers, Combisafe OM related activities, regular order updates for customers, coordination for collection, coordination with Supply Chain regarding item availability and status.
Responsibilities: • Order processing, coordination for collection, ensure customer satisfaction
• Follow up on sales quotes & orders on hold to avoid delays in order processing
• Validate customer purchase orders for all required details and match it with existing sales quote prior to processing
• Ensure customer checklist details are on hand
• Acknowledge the orders within 48 hours after SQ, from SFDC (salesforce.com) reached SAP
• Send order acknowledgment confirming the receipt, process the order, check & communicate promise dates
• Collect lead-time information and monitor Made-To-Order (MTO) products readiness as per prior commitment
• Check and follow-up for advance payment for cash in advance customers
• Liaise with customer and warehouse for timely collection, apply penalties in case of delays, own "Shipped Not Billed" report and ensure that all shipped goods generate revenue
• Follow up with the warehouse to ensure that shipping is being logged in the system
• Follow up with customer after delivery and handle shortage / quality related complaints, coordinate returns process. (Including investigation and seeking approval for issuing Debit and Credit notes)
• Ensure that the customers are satisfied and develop trust to secure future business
• Reporting, Honeywell communication, revenue maximization, prepare weekly report related to order processing & acknowledgement, orders on hold and cancelled orders along with overall achievement in order Intake and billing
• Provide customers with official communication regarding changes in lead-time, quality, branding and changes in specifications
• Provide support with finalizing Distributor Agreements
• Prepare weekly reports on potential billing in order to maximize revenue
• Follow up with Credit Control team to anticipate and resolve credit blocks, inform sales team daily as soon as issue surfaces
• Escalate all issues stopping revenue generation
• Consolidate available reports to support submission of billing estimates & weekly customer update
• Be part of HOS (Honeywell Operating System) process and Lean Culture, bring improvements continuously (2 Kaizen per month), take active part in process standardization.
• Apply lean methodology in daily work, complete Six Sigma Fundamentals training, support HSP actively to achieve HOS Bronze
Qualifications
• Fluent Arabic language skills required
• College degree
• 3-4 years experience in a customer service role handling order management within a corporate environment
• Exposure to logistics and sales support is an advantage
• High competence in standard MS Office applications including WORD & EXCEL
• Advanced Excel skills are preferable with basic knowledge of Pivot Tables, VLookup and functions
• Strong command of English both written and spoken
• Experience in Oracle / SAP is an advantage
• Able to multitask and work well under pressure
• A pro-active team player with professional attitude & approach
• Highly customer focused with a "can-do" attitude, always ready to learn
